GeBüV
Buchsnap and the Swiss accounting records ordinance (GeBüV)
What the software does so that entries and receipts are kept complete, unaltered and readable, and what remains your responsibility. As of October 2026.
What Buchsnap does
Unalterable, traceable, exportable
Unalterable entries
Approved entries cannot be edited or deleted. A correction is a reversing entry that stays visible in the journal. Only drafts can be deleted.
Locked periods
After closing or filing VAT, the period is locked. New entries or approvals in that period are refused.
Protected audit log
Sign-ins, approvals and changes are logged. The database protects the log against changes and deletion.
Receipt archive with checksum
Every file is stored under its checksum (SHA-256) and never overwritten. Photos are also saved as an archivable PDF.
Exports for audit and archiving
Journal and account sheets as PDF, entries as Excel in Banana's format, all receipts as a ZIP by month, VAT return as XML (eCH-0217).
Backups
An encrypted backup to separate storage every night (seven daily, four monthly versions). Restoring is tested automatically every month.
Your responsibility
What stays with you
The company remains responsible for keeping proper accounts. Books, accounting vouchers, the annual report and the audit report must be kept for ten years (art. 958f CO). Buchsnap is a tool for this; this statement describes software features and is not a certification or an audit by an auditor.
- At year-end, export the journal and receipts and keep them outside Buchsnap
- Check whether paper receipts must be kept after uploading
- Lock periods after closing
- A personal login with a second factor for every person
