Privacy policy

How we handle your personal data.

This translation is provided for convenience. In case of any discrepancy, the German version prevails.

This privacy policy explains how we process personal data when you visit buchsnap.ch and when you use the Buchsnap platform (buchhaltung.buchsnap.ch, kunde.buchsnap.ch, app.buchsnap.ch). It is based on the Swiss Federal Act on Data Protection (FADP/DSG) and, where applicable, the EU General Data Protection Regulation (GDPR/DSGVO).

1. Controller

Alin Ghiorghiu, sole proprietorship (Einzelfirma), Schurbungertweg 10, 8302 Kloten, Switzerland. Email: info@buchsnap.ch

2. Our role

For the website and for accounts on the platform (name, email address, logins), we are the controller.

For a company's accounting data (receipts, entries, invoices, customer and supplier contacts), we act as a processor. The company and its accounting firm are the controllers of this data. We process it solely to operate the platform.

3. What data we process

  • Visiting the website: IP address, date and time, page visited, browser and operating system. This data is generated for technical reasons and is logged for a short time for security and troubleshooting purposes.
  • Contact form and enquiries to accountants: name, email address, phone number, company and your message. An enquiry made through the directory is sent to the accounting firm you choose.
  • Signing up as an accountant: personal details and details of the firm, languages spoken, phone number.
  • Using the platform: account data, logins, settings and the content that you or your accounting firm enter.
  • Subscription payments: billing data. We do not receive card details; they go directly to the payment service provider.

4. Purposes

Providing the website and the platform, responding to enquiries, reviewing sign-ups, invoicing subscriptions, security and the prevention of misuse, and complying with legal obligations (for example, retaining accounting records).

5. Receipt recognition

Text and QR codes on receipts are read on our own server. Receipts are not sent to AI services or any other third-party providers for this purpose.

6. Recipients and storage location

  • HostOn.ch: hosting of the website and the platform. The server is located in a data centre in Romania (EU). Under Swiss law, the EU is regarded as providing an adequate level of data protection.
  • Cloudflare, Inc. (USA): protection against attacks and fast delivery of the website. Cloudflare is certified under the Swiss-U.S. Data Privacy Framework.
  • Payrexx AG (Switzerland) and Stripe: processing of online subscription payments, if you choose to pay online.
  • Google (only with your consent): Google Analytics and Google Tag Manager for anonymous visitor statistics (see below).
  • Accounting firms: receive the enquiries you send them through the directory and the data of the companies they look after.

We send and receive email via our own mail server.

7. Cookies and statistics

The website does not set any cookies for statistical or advertising purposes without your consent. Google Analytics and, where applicable, Google Tag Manager are loaded only once you click "Accept" in the notice, and IP addresses are truncated in the process. We store your choice in your browser's local storage. You can change it at any time using the Cookie settings link.

On the platform, we use only cookies that are technically necessary for logging in.

8. Retention

We delete contact enquiries once they have been dealt with, and after two years at the latest. Accounting data is stored for as long as the subscription is active. After that, you receive an archive and the data is deleted, unless a statutory retention obligation applies. Backup copies are overwritten after four months at the latest.

9. Data security

Encrypted connections (HTTPS), two-factor authentication, separation of data by company, daily backups to separate storage and logging of important changes.

10. Your rights

You have the right to access, rectify and erase your data, to receive a copy of it, and to object to certain types of processing. To exercise these rights, write to info@buchsnap.ch. For accounting data, please contact your accounting firm first. You may also lodge a complaint with the Federal Data Protection and Information Commissioner (FDPIC/EDÖB).

11. Changes

We update this policy when our processing changes. The version published here at the relevant time applies.

Legal basis

Swiss Federal Act on Data Protection (FADP), in force since 1 September 2023, and the EU GDPR where applicable.
