Bank reconciliation with camt.053: how ISO 20022 saves time in your accounts

Reconciling your bank accounts is one of the most frequent jobs in bookkeeping. If you enter every incoming payment and every debit by hand, it eats up hours each month. The electronic bank statement in camt.053 format lets you automate a large share of that work. This article explains what lies behind the formats and how to use them day to day.

ISO 20022 and the Swiss Payment Standards

ISO 20022 is an internationally recognised standard for financial messages. In Switzerland, SIX sets out in the Swiss Payment Standards (SPS) how banks and their customers exchange these messages. The current edition is SPS 2025, in force since 22 November 2025.

Three cash management messages matter most for accounting:

MessageNameContent
camt.053Bank To Customer Statementelectronic bank statement with balances and transactions
camt.052Bank To Customer Account Reportmovements within a period, for example intraday
camt.054Bank To Customer Debit/Credit Notificationcredit and debit advices, including breakdowns of batch bookings

For monthly or daily reconciliation, camt.053 is the core format. camt.054 becomes important if your bank bundles several incoming payments into a single collective credit and you need the details for each invoice.

What a camt.053 contains

A PDF statement is designed for people. A camt.053 is a structured XML file that software can read directly. For each transaction it includes, among other things:

  • booking date and value date,
  • amount and currency,
  • whether it is a credit or a debit,
  • name and account of the counterparty,
  • the reference, such as the QR reference or Creditor Reference of a QR-bill,
  • the message to the payee,
  • for batch bookings, further details where available.

These fields are what make the difference. Your accounting software doesn't have to guess: it can match payments unambiguously using the reference.

How automatic reconciliation works

  1. Import: The software fetches the camt.053 through a bank interface, or you upload the file from your e-banking.
  2. Matching by reference: Incoming payments with a QR reference or Creditor Reference are matched to the corresponding open invoice.
  3. Rules for recurring transactions: Rent, leasing, insurance or bank charges are pre-coded using fixed rules.
  4. Suggestions for the rest: For transactions without a reference, the system suggests an account based on the amount, name and message.
  5. Review: You confirm or correct the suggestions. Whatever you confirm is posted.
  6. Reconciliation: The balance in your books matches the balance on the statement.

A worked example

A trades business has around 180 bank transactions a month. Entering them by hand, including finding the invoice and assigning the account, takes about a minute each: three hours in total.

With camt.053 and QR references used consistently, the 110 incoming payments on customer invoices are matched automatically. Rules take care of 40 recurring debits. That leaves 30 transactions to check. Even at two minutes each, that's one hour instead of three. The figures are illustrative, but the principle applies to almost any business: the more payments carry a reference, the less manual work is left.

The prerequisite: references on your own invoices

Automatic reconciliation stands or falls on references. If you send QR-bills without a reference, payments come back with only a name and a message. The software then has to guess, and with partial payments or a customer settling several invoices at once, that often goes wrong.

We therefore recommend:

  • QR-bills with a QR reference (via a QR-IBAN, CHF only) or a Creditor Reference (via your normal IBAN, CHF and EUR),
  • a unique reference for each invoice,
  • for customers who regularly pay several invoices in one go, an agreement that they quote the invoice numbers in the payment message.

What changes on 14 November 2026

There's an important deadline for businesses that initiate payments from their accounting or ERP software. According to a SIX factsheet, from 14 November 2026:

  • The addresses of all parties involved in a payment must meet the requirements for a structured address and contain at least the town and country as separate data elements.
  • Only one version of the ISO 20022 messages will be supported. The parallel phase with older message versions comes to an end.

Incomplete addresses can lead to a payment being rejected by one of the financial institutions involved. So check with your software provider now whether your payment files for transfers are already generated in the current version and with structured addresses. At the same time, new rules apply to QR-bills in euros, and banks are cleaning up old standing orders and templates by 13 November 2026.

Dividing the work between SMEs and accountants

The electronic bank statement also changes how you work with your accountant (Treuhänder). In the past, a small business handed over a pile of statements and receipts once a quarter. Today the accountant can see the bank data on an ongoing basis, and the business only has to answer the questions the software can't resolve: what was this payment for? Where is the receipt for this debit?

A clear split of tasks has proved its worth. The business makes sure receipts are captured promptly and outgoing invoices carry a reference. The accountant maintains the posting rules, reviews the suggestions and clears up special cases. Both work from the same data, and by the end of the quarter the bank reconciliation is already done before work on the VAT return begins.

What you should keep

Bank statements are accounting records and must be kept for ten years. A camt.053 holds the data, but depending on the system it may not be readable without software. The Ordinance on Accounting Records (GeBüV) requires that records can, on request, be made readable without technical aids. Many businesses therefore also archive the bank's PDF statement or a printout from their accounting system showing every transaction.

Common pitfalls

  • Duplicate imports: If you import the same period twice, transactions are posted twice. Good software spots duplicates, and checking the balance will reveal the error in any case.
  • Batch bookings without details: Without camt.054 or detailed information in the camt.053, you only see the total. Ask your bank how collective credits are delivered.
  • Card payments and payment services: TWINT, card terminals and online shops pay out net amounts after deducting their fees. You need a clearing account and the provider's settlement statement.
  • Foreign currency accounts: Each account needs its own import, and exchange differences must be posted separately.

Checklist for getting started

  1. Ask your bank to activate camt.053 statements, with automatic delivery if possible.
  2. Issue outgoing invoices with a reference.
  3. Set up rules for recurring transactions.
  4. Reconcile at least monthly, preferably weekly.
  5. Check that your payment software uses structured addresses and the current message version.
  6. Also archive your statements in a readable form.

Buchsnap imports camt.053 files, matches payments that carry a reference to open invoices and, for the remaining transactions, shows you which receipt is still missing. Bank reconciliation turns from a monthly project into a quick check.

Frequently asked questions

What is a camt.053 file?

camt.053 is the electronic bank statement under ISO 20022 ("Bank To Customer Statement"). It contains an account's balances and transactions in structured form, so accounting software can read them directly.

What is the difference between camt.052, camt.053 and camt.054?

camt.053 is the bank statement, camt.052 is a report on movements within a period, for example intraday, and camt.054 is a credit or debit notification that can also break down batch bookings.

How are bank payments matched to invoices automatically?

Through the reference. If the QR-bill contains a QR reference or Creditor Reference, it appears in the camt.053, and the software can match the payment unambiguously to the open invoice.

What changes in Swiss payments on 14 November 2026?

According to SIX, from that date the addresses of all parties involved must be structured and contain at least the town and country as separate elements. In addition, only one version of the ISO 20022 messages will be supported.

Do I need to keep camt files?

Bank statements are accounting records and must be kept for ten years. As records must be readable without technical aids on request, it's advisable to also keep a PDF statement or a readable printout.

How often should I reconcile my bank accounts?

At least monthly, preferably weekly. The shorter the interval, the easier it is to track down missing receipts and unclear payments.
